As the Client Operations Resource Manager, you are the strategic architect of Carnegie’s resource management and operational efficiency. You will serve as the primary link between client demand and workload capacity, ensuring that multidisciplinary teams are optimized to deliver excellence in client delivery. Beyond daily management, you will be responsible for ideating, establishing, and rolling out a standardized, company-wide resource management workflow that balances the seasonal peaks of the higher education industry and enrollment calendar with sustainable team utilization and long-term organic growth.
Duties and Responsibilities:
- Workflow Architecture & Roll-out: Design, document, and implement an end-to-end Client Services (and later, company-wide) resource management process, including the configuration of Asana as centralized resource management tool
- Strategic Capacity Planning: Forecast long-term staffing needs based on the academic recruitment cycle and provide data-driven recommendations for Client Services hiring, while supporting team transitions as necessary
- Talent Allocation & Optimization: Lead weekly resource meetings to assign resources in alignment with incoming projects, portfolio bandwidth, and organic growth while ensuring equitable workloads across teams, clear staffing plans, and dedicated resources
- Change Management & Training: Act as the internal champion for the new resource management workflow, developing SOPs and conducting training sessions to ensure high adoption and understanding across all teams
- Utilization & Profitability Tracking: Monitor billable hours and utilization rates to identify overburn, prevent team burnout, and ensure all projects remain profitable and on schedule in partnership with the Client Delivery teamÂ
- Process Refinement: Establish feedback loops and retrospective analyses to continuously refine the resource workflow, incorporating usage of estimated hours and staffing plans
Knowledge/Skills/Abilities:
- Excellent attention to detail and time management, including ability to effectively multitask in a deadline-driven atmosphere
- Extensive experience in resource management workflows and systems thinking
- Must be self-directed and able to complete projects with limited supervision
- Exceptional ability to ideate, develop, prototype, implement, and refine project planning
- Demonstrated problem-solving skills, utilizing resources to work independently and troubleshoot arising issues
- Diplomatic authority with the ability to manage expectations and say “no” or “not yet” based on data-driven capacity limits
Credentials and Experience:
- Bachelor’s degree required; journalism/marketing/advertising/business major or related field concentration preferred
- 3–5+ years of experience in resource management, project management, or operations within a marketing agency
- Higher education/enrollment marketing experience/interest a plus
- High proficiency in resource management software, and/or Asana workload management experience required
