Staff Accountant

The Staff Accountant plays an integral role in the company’s accounting function, working collaboratively with the VP, Finance and Accounting to maintain financial reports, records, and general ledger accounts. This role is central to accounts payable operations, cash management, balance sheet integrity, and vendor invoice auditing.

Duties and Responsibilities

  • Accounts Payable
    • Enter approved invoices into Sage Intacct with correct information and categorization, including invoice date, due date, vendor name, category, and division
    • Triage invoices that arrive directly to A/P to ensure timely approval by the appropriate employee
    • Weekly, or as needed, review outstanding and unpaid A/P with the VP of Finance; initiate ACHs to vendors or identify checks that need to be cut
    • For new vendors, assess W9 collection and file status; add vendors to Sage Intacct with correct 1099 status and check/ACH payment preference
    • Using Pivot Tables and/or other tools, audit costs shown on vendor invoices against costs entered and tracked in the billing system to ensure clients are billed appropriately
    • Run appropriate reports from the billing system to support vendor invoice audits
  • Cash Management & Bank Reconciliation
    • Monitor prior-day bank activity to ensure all ACH deposits are recorded against the appropriate clients and invoices, referencing customer remittances
    • Monitor current-day bank activity to record incoming deposits against the appropriate clients and invoices
    • Prepare month-end bank reconciliations
    • Communicate weekly cash balances to key stakeholders
    • Assist in building and maintaining detailed historical and forecast cash models
  • General Ledger, Journal Entries & Month-End Close
    • Maintain financial reports, records, and general ledger accounts
    • Play an integral role in managing balance sheet accounts and maintaining supporting detail
    • Update Excel files to accurately detail activity and balances in Sage Intacct, including prepaid expenses, accrued expenses, and fixed asset amortization
    • Prepare account reconciliations and assist with the month-end close process to validate revenue and cost recognition
    • Prepare and post journal entries as needed, including:
      • Prepaid amortization
      • Amortization of print/postage costs
      • Fixed asset depreciation
      • Intangible asset and goodwill depreciation
  • Audit & General Support
    • Assist with the annual financial audit
    • Support other accounting and finance projects as needed
    • Experience processing payroll a plus

Knowledge, Skills & Abilities

  • Proficiency in Sage Intacct and Microsoft Office Suite, with advanced Excel skills (Pivot Tables, reconciliations, modeling)
  • Strong numeracy and analytical skills with careful attention to detail and accuracy
  • Ability to manage multiple projects and deadlines independently in a remote environment
  • Excellent oral, written, and interpersonal communication skills
  • Strong time management and organizational skills
  • Ability to learn and navigate multiple technology platforms
  • Effective remote work skills, including proactive communication and self-management

Credentials and Experience

  • Bachelor’s degree in Finance or Accounting preferred
  • Minimum 2+ years of related accounting experience
